Everything related to users is managed from the 'Users' section. 


You must have the role of Manager or Administrator to manage users and data users in Board.

You can set up two types of users: Users and Data users.

Users are created with email addresses, so they have login access to Board. When logged in users can add a profile picture and create an avatar on their profile. If boards, games and slideshows has been shared with them, they also have access to this content.

Data Users, are essentially users without login access, as they do not have an email address. This allows administrators or managers to link the user across integrations, add a profile picture, change the avatar, and assign teams — all without granting the user actual access to the system.


Users

  1. Navigate to Settings
  2. Click on Users, here you have an overview over all users, both Users and Data users. In the overview, you can view information such as name, alias, email, role, teams, and recent activity. 


It is easy to distinguish between users and data users in the overview. Users are displayed with name when the user has created their profile, as well as their email adress. Data users only are displayed with an alias.


In the overview, you can sort your users by name or by team. Simply click one of the two icons next to the titel 'Users' to choose how you want to view the list.

Invite Users

  1. Navigate to Settings
  2. Click on Users
  3. Click on Invite user


If you have multiple users to invite to Board at the same time, this is also possible. Simply fill in the email addresses of the individuals you want to invite, separating them with a space or by pressing enter. 

Enter the email address and choose the role the user should have from the drop-down menu. 

If all users should have the same role, select the role in the overall drop-down menu. If they should have different roles, choose the role next to each email address. 





Once the invitation is sent, the invited users will be displayed in the user overview.


See User

Under 'See user', you can make changes and additions to the user.

  2. Click on Users
  3. Click on the user you want to make changes to


Personal info

Here, you can assign an alias and adjust the user's role. Other information, such as must be updated by the user.


Use an alias if, for example, you do not allow the user's name to be displayed on your screens. The alias will be shown in boards, games, and notifications.



Teams

Here, you can add a predefined team. Click 'Add Team' and select which team or teams should be added to the user. 


Integration users

Here, you can add an integration to each user, linking the user’s data from the integration to Board. You can also add integration users directly from the integration, you can read about it here. If you for instance add a new integration, it will be easier to add the users directly from the integration.

To do this, go to each user under Settings > Users > Integration Users and click 'Add Integration'. Then, search for the user you are currently editing and link them to the integration. 


If you want to use features like filtering by agent/user level and user-specific boards, or you have several integrations with data from users to want to display in a table, you must link each user to the integration.



Please note that as a manager, you must have access to the integration in order to link the user in Board with the integration user. Click here to learn more.


The 'External ID' is the user's ID from the relevant integration, and it can be used to search for the user's data in datasets. 


Delete User

Under Settings Users, you can easily delete a user’s access if they should no longer have access to Board. Click 'Remove Access' next to the individual user on the right-hand side.


The owner of the organization cannot be deleted. If the user with ownership needs to be removed, you must first assign a new owner under Organization Settings Organization Owner. After that, it will be possible to delete the previous owner under users.


Will data be retained for a deleted user?


When a user is deleted either from your integration or as a user in Board, the data will still be visible. However, be aware that the username will be replaced by the user's external ID from the integration.



Data User

Create Data User

  1. Navigate to Settings
  2. Click on Users
  3. Click on Create Data User


If you want to create multiple users at the same time, simply press enter for each user name you want to create. 



Assign team to the data user, you can add teams to your users later as well. Click on 'Create' and the users are now visible in your user overview.






Edit Data user

  1. Navigate to Settings
  2. Click on Users
  3. Click on click on the user you want to make adjustments to
  4. For you to add a picture to the profile, click on Edit in the circel above the users' name


Personal info

Under Personal info, you can adjust the name of the user. You can also add a personal notification video to the user.

Gamification

Under the Gamification tab, you can create an avatar on behalf of the user - so each user has a personalized avatar.

Teams

Under Teams, you can add or remove teams.


Integration users

Under Integration users, you can add an integration to each data user, linking the user’s data from the integration to Board. You can also add integration users directly from the integration, you can read about it here. If you for instance add a new integration, it will be easier to add the users directly from the integration.

Click Add integration for each user and search search for the user you are currently editing and link them to the integration.
