KPIs

In Board, you don’t need to create KPIs from scratch, as there are a number of system-generated KPIs available for you to visualize your data. If you want to expand with more KPIs, you have the option to create custom KPIs.


  1. Go to Settings
  2. Select KPIs
  3. Select the integration for which you want to see KPIs


The overview is structured so that custom KPIs are listed at the top, followed by standard KPIs. You can search within specific datasets while also being able to search by the names of the KPIs.


Please note that you must be an Administrator to access all KPIs in Board. As a Manager, you can only access the KPIs for the integrations you have been granted access to.

Create KPI

If you want to create your own custom KPIs, this can be done with just a few clicks.


  1. Go to Settings
  2. Click KPIs
  3. Select the integration for which you want to create a KPI
  4. Click Create KPI 
    1. Enter a Name for your KPI
    2. Optionally, add a Description
    3. Select Type
      1. Number: Displays KPI values as numeric outputs, such as counts, sums, or averages
      2. Time: Displays KPI values as time-based values, such as durations
      3. Text: Displays KPI values as text, for example, the name of the most recently rated customer.
      4. Date & Time: Displays KPI values as timestamps, such as the latest update
    4. Under Data set, choose the source the KPI should be based on 
    5. Select the Field from which the KPI should retrieve data
      1. We recommend using an ID field, when you want to count, as each ID is unique
    6. Under Action, select how the KPI should be calculated. The available actions depend on the selected field. If the field is not numeric, only Count number, Count unique, Newest value, and Oldest value are available
      1. Count number
      2. Count unique
      3. Sum of value
      4. Average of value
      5. Minimum value
      6. Highest value
      7. Percentile
      8. Newest value
      9. Oldest value 
    7. Under Multiply the value by, you can optionally enter a static number that the KPI value will be multiplied by
    8. Under Time, choose the timeframe the KPI should be based on 
      1. The help text indicates which field is used by default for the selected data set
    9. Under User, select the field that identifies the user 
      1. The help text indicates the default field for the selected data set
      2. User should be based on an ID 
    10. Click Next 
    11. Optionally, set Conditions for your KPI if it should only be based on specific values or outcomes from your selected fields
    12. Click Save


Once you have created your KPI and clicked Save, it will appear in the KPI overview under the Custom KPI's section. 



We recommend using the ID field when possible if you want to count number or count unique.


Use the Newest Value and Oldest Value actions to display the oldest or most recent value of a field, rather than counting, summing, etc.



Conditions


Easily set conditions for your KPI by clicking And or Or else to add conditions.


  • With And, you can set multiple conditions that must be met.
  • With Or else, you can set multiple conditions and specify how many of them need to be met.


Please note that any text you enter as a condition must match the text from the integration exactly, as we distinguish between uppercase and lowercase letters.



If you want to set conditions for your KPI that are based on fields created in your data source, be aware that there must be data in this field before it can be used in Board to create a KPI or conditions.




Edit KPI

Do you have an existing KPI that you would like to make changes to? 

  1. Go to Settings
  2. Choose KPIs
  3. Select the integration
  4. Find the KPI you want to edit
  5. Click Edit to make changes to your KPI
  6. Click Save



Duplicate KPI

If you have KPIs that you want to duplicate, where you, for example, want to keep the setup and make changes to aspects like actions, conditions, or similar, you are able to do so. 


  1. Go to Settings
  2. Choose KPIs
  3. Select the integration 
  4. Find the KPI you want to duplicate
  5. Click Duplicate to copy your KPI
  6. Adjust the title and setup of your KPI
  7. Click Save


Delete KPI

If you have have KPIs you no longer use, you can easily delete these KPIs.

  1. Go to Settings
  2. Choose KPIs
  3. Select the integration
  4. Find the KPI you want to delete
  5. Click Delete to delete your KPI
  6. Confirm with Yes

 


Dimensions

With dimensions you are able to use your own dimension, when creating tables in your boards.


How to use your own dimensions:

  1. Choose your data source
  2. Under Dimension, select the dimension you created under KPIs
  3. In Columns, choose Dimension as a column, overwrite the name if you another name than Dimension.



Create Dimension

If you need additional dimensions, you can create your own custom dimensions.


A dimension is a field from a selected integration that you can use to group data in tables and charts. For example, this could be a date field, text field, or any other field you want to base your data on.


  1. Go to Settings 
  2. Click KPIs
  3. Select the integration where you want to create the dimension
  4. Click Dimensions
  5. Click Create Dimension
  6. Fill in the name, and optionally add a description
  7. Select the data set and field on which the dimension should be based
  8. Click Save



You are then ready to use your created dimension in widgets. 


Make sure to:


  1. Select the integration the dimension is based on
  2. Under Dimension, select your created dimension
  3. Select your KPIs
    1. Under Columns, select Dimension (In tables) as well as your KPIs





Edit Dimension


If you have a dimension that you want to edit, follow these steps:

  1. Go to Settings
  2. Click KPIs
  3. Find the integration to which the dimension is linked
  4. Click Dimensions
  5. You can modify the dimension by clicking Edit Dimension
  6. Make your changes
  7. Click Save




Delete Dimension


If you have a dimension that you want to edit, follow these steps:

  1. Go to Settings
  2. Click KPIs
  3. Find the integration to which the dimension is linked
  4. Click Dimensions
  5. Click Delete Dimension to delete your dimension
  6. Confirm with Yes
