Available shifts

You can set up available shifts for your employees, allowing them to sign up with the appropriate permissions. Employees can find available shifts under the "My Shifts" menu. They can view available shifts by toggling "Available Shifts" on, located to the right. If they are using the list view, available shifts will appear at the bottom after their own shifts.


There are two different types of available shifts, which will be explained in the following steps.


Single shift in Shift Plan

You can post individual shifts directly in the shift plan for your employees. For each shift you create, only one employee can sign up. Once an employee signs up for the shift, it will be moved to the shift plan as an assigned shift and will no longer appear under available shifts.

The first row in the shift plan represents available shifts. To create available shifts, you have two options:

  1. Click "+Create Available Shift."
  2. Click one of the empty cells in the row for available shifts.


The difference between these two options is that in the second option, the date is already set for the shift.


For an available shift, you must first specify whether it should follow the rules set in a shift template. Read more about shift templates here.


If you choose not to use a template, employees with the appropriate access can sign up for the shift without any pre-set conditions.


When creating an available shift, the process is the same as assigning a new shift in the shift plan. Learn how to complete the "Sign Up for Shift" tabs here.


Available Shifts from the Shift Template

In a Shift template, you can set rules for how employees can sign up for shifts, as well as how many employees can be assigned to a particular type of shift. When you enable sign-ups within the shift templates, these shifts will appear as available under an employee’s "My Shifts."


When an employee selects a shift under "Available Shifts," it will be added to the shift plan like any other shift. If the sign-up process requires manager approval, the shift will appear in the shift plan with a flashing blue dot and a notification at the top of the shift plan, indicating that the shift requires attention.
