There are several places in Work where you can approve reports:

To approve reports, you must have the permission to approve either as a Supervisor, Administrator, or both.
A Supervisor must always approve first, as Administrator approval locks out Supervisor approval. Approvals can be removed under Reports.
By approving reports, you ensure that employees have worked the required hours and have been allocated the correct salary time, ensuring they receive the correct pay.
It is especially important if you use Work for payroll calculations that someone in the organization reviews and approves reports.
If reports are not approved, there are areas in the system where they will not be included. A red warning bar will appear in these areas with information.
Under the Reports Menu
To access the option to approve reports/records under this menu, follow these steps:
- Click on the Reporting menu.
- Select Reports.
- Fill out the filter fields to display the relevant reports you need.
Reports will group according to the split selected in your filter.
You can approve each individual report by clicking the colored dots under Options. When the dot(s) are filled with color, the report is approved.
If you want to approve multiple reports at once, you can do so by clicking the three dots in each box.
In the Shift Plan
To approve shifts directly in the shift plan, follow these steps:
- Click on the Shifts menu.
- Select Shift Plan.
Reports and records can appear in two different ways in the shift plan, depending on whether there is a shift assigned for the day.
If there is no shift for the day, the report will appear as a blue field displaying the start and end times for clocking in and out, along with the total salary time. You can approve the report by clicking on it, which will display the approval options.
If there is a shift assigned for the day, a number will appear in the round icon on the shift. The icon will be gray if the report is unapproved and green if it is approved. Clicking the icon will display the report details, and you can approve it from there.
Absence registrations work in the same way, though they will be red unless custom types with other colors have been set up. Read more about this here.
In Shift Details
To approve reports in Shift Details, follow these steps:
- Go to the Shifts menu.
- Then, select Shift Details.
- Click on the day under the shift plan for which you wish to approve reports.
Reports are shown with an orange and green circle next to each employee's line. See the image.
To approve the report, click on the colored circles, and you can approve it either as an administrator or as a supervisor.
