It is possible to access your datasets for each integration you have in Board. Additionally, you can manage your data in three different ways, which will be explained in this guide. This provides an opportunity to maintain control over your own data.  

Only administrators have access to integrations and, consequently, the ability to manage data within them.


You can find data management as follows:

  1. Go to "Settings"
  2. Select the menu item "Integrations"
  3. Click on the integration for which you wish to manage data
  4. Click on the "Data" section 


Not all integrations have data sets, and therefore, it is not possible to manage data for such integrations.


You will now see the different datasets associated with the selected integration. On the right side, you will find options for data management. 


Options:


  1. Under Settings, you can deactivate an entire dataset or parts of it.

    • To deactivate an entire data set, simply toggle "Active" off. When you deactivate an entire data set, it includes all fields within that data set.
    • If you only wish to deactivate specific fields in the data set, ensure the data set is set to active, then toggle off the fields you do not want in your data set.
    • Note that when you deactivate an entire dataset or parts of it, the deactivation takes effect immediately. However, any data generated before the deactivation remains unaffected. If you wish to remove historical data, follow the process in step 2.
  2. Under Resynchronize Data, you can resynchronize all data in the dataset within a selected time period.

    • Enter the time period for which the data should be resynchronized.
    • It may take between 0 and 40 seconds for the synchronization to start.
    • Only one synchronization job can run at a time.
    • The progress bar shows the synchronization status.
    • You do not need to wait for the synchronization to complete. Once the job starts, you can close the window, and you will receive an email notification as soon as the synchronization is finished. You will also receive an email if the syncronization failed.
  3. Under Delete Data in a data set, you can delete the entire dataset or only data within a specific time period.

    • To delete the entire data set, simply toggle on the option and click the green "Delete Data" button.
    • Alternatively, you can delete data for a specified time period based on a time field.
